This document outlines the terms, conditions, and policies set it place by the Society of Typographic Aficionados (SOTA) pertaining to registration for the annual TypeCon conference. Please review the following important information.

Terms & Conditions

Effective February 13th, 2013

Submitting your registration form and payment constitutes an agreement on your part to accept the following terms and conditions.

Registration Types

You agree to pay in full the registration fee that is applicable to your category. For example, only current full-time students possessing valid student IDs are entitled to register at student rates. Partner registration for evening events is only available to those not working or studying in a TypeCon-related field, and is only available to a single party accompanying a properly registered full-conference attendee. Listed membership discounts are only given to current SOTA members in good standing. All others must register at the non-member professional rate in effect on a particular date.

Registration Confirmation & Updates

You will receive your registration confirmation and credit card receipt by email. Please ensure that your personal valid email is entered correctly on the registration form. Be sure to check your junk email box to in case any of your TypeCon-related email(s) are caught by spam filters.

On-site registration and check-in will open at the Hilton Portland & Executive Tower (the TypeCon2013 conference hotel and headquarters) on Wednesday, August 21st, 2013. The time and other specifics will be announced in email and on the conference website.

You will receive essential information for registered TypeCon attendees electronically at the email address provided on your registration form. The TypeCon website will also contain important information – please check the site for updates. You may also receive attendee information by postal delivery before or after the conference.

Cancellations & Refunds

If you need to cancel, you must notify us in writing by 11:59 p.m. Pacific Time, Monday, August 19th, 2013. Cancellation notification must be delivered by postal mail, express courier, fax transmission, or electronic mail. You MUST ALSO call us on or before Monday, August 19th, 2013, so that we know to expect your written cancellation. This is essential and mandatory, as email, fax transmissions, and non-trackable postal mail are not always 100% reliable.

If you cancel by Monday, August 19th, 2013, your main conference registration fee, education forum registration fee, and/or partner registration fee will be refunded, less a $50 processing fee. No refunds can be given on pre-conference workshops or SOTA membership.

Refunds will be made in the form of a check drawn on a US bank, and will be mailed after TypeCon. No cash refunds will be given.

No refunds of any kind will be made for cancellations received after Monday, August 19th, 2013. No refunds will be given for “no-shows,” late arrivals, early departures, and/or anyone who does not notify us by the cut-off date using the methods set forth herein.

Substitutions, Transfers & Additions

You may transfer your registration to another eligible party if you are unable to attend TypeCon2013. Attendees transferring registrations to another party are responsible for any and all financial arrangements between transferring and receiving parties. Registration transfers may be made by phone until Thursday, August 22nd, 2013. After this date, all changes must be made on-site during TypeCon2013. There will be a $25 processing fee charged per registration transfer.

You may add optional pre-conference workshops or an eligible partner to your registration on a space-available basis. Additions may be made by phone until Thursday, August 22nd, 2013. After this date, all changes must be made on-site during TypeCon2013. You will be charged the workshop and/or partner registration fees in effect at the time of the addition.

Travel & Hotel

Attendees are responsible for securing their own travel and accommodation and making payment for such. Cancellation of hotel reservations and/or any travel expenses incurred are the sole responsibility of each individual. SOTA does not make any guarantees or in any way warrant the conference hotel, other conference venues, or any form of transportation.
